Physical-to-Digital Analogue Image Management Framework 📁🎞️🏷️

Version: 1.0.17 (Build 18) | Last Updated: September 2026 | Audience: Product Strategy, Archival Photographers & Core Engineering Team

[!IMPORTANT] The Golden Archival Rule: "If filing a negative or print takes more than 15 seconds, it will end up in a cupboard box." To replace the "box in a cupboard" habit, the image management system must be frictionless, self-describing, and seamlessly linked to the digital index.

Executive Summary

This framework establishes a conceptual model for physical analogue image management. It bridges the physical objects in your studio (film rolls, negative sleeves, test strips, master prints, boxes) with Fotologue's digital index (field logs, GPS, 3-Axis Taxonomy, and darkroom print recipes).

1. The 4 Conceptual Pillars of Analogue Image Management

┌─────────────────────────────────────────────────────────────────────────────┐ │ PHYSICAL-TO-DIGITAL IMAGE MANAGEMENT SYSTEM │ ├─────────────────┬───────────────────┬───────────────────┬───────────────────┤ │ I. UNIVERSAL │ II. CONTAINER │ III. DIGITAL │ IV. FRICTIONLESS │ │ IDENTIFIERS │ HIERARCHY │ BRIDGE │ HABITS │ ├─────────────────┼───────────────────┼───────────────────┼───────────────────┤ │ • Deterministic │ • Location │ • QR / Barcode │ • 15-Sec Filing │ │ Roll ID │ • Container/Box │ • Contact Sheets │ • Printed Labels │ │ • Print ID │ • Unit Sleeve │ • XMP Metadata │ • Instant Search │ └─────────────────┴───────────────────┴───────────────────┴───────────────────┘

Pillar I: Universal Physical Identifiers (The Unique ID)

To eliminate ambiguity, every physical item receives a structured, human-readable Universal Asset Identifier (UAI) that is written on the physical sleeve/box AND recorded in the digital index.

1. Roll & Negative Sleeve ID ([YYYY]-[ROLL#])

  • Format: 2026-R03 (Year 2026, Roll #3) or 2026-K400-R03 (Year, Kodak Portra 400, Roll #3).

  • Physical Application: Written on the glassine/polypropylene negative sleeve header margin using an archival pen or printed sticker.

  • Frame Identification: Combined with frame rebate numbers: 2026-R03-F12 (Roll 3, Frame 12).

2. Print ID (PRT-[YYYY]-[SEQ#])

  • Format: PRT-2026-0042.

  • Physical Application: Stamped or written in archival pencil on the back margin of the fiber-base/RC print.

  • Metadata Link: Links the physical print back to Negative 2026-R03-F12 and its Darkroom Print Recipe.

Pillar II: The 3-Level Physical Storage Hierarchy

Instead of dumping negatives and prints in loose boxes, physical storage is organized into 3 intuitive, nested levels:

LEVEL 1: STORAGE LOCATION ──► LEVEL 2: ARCHIVAL CONTAINER ──► LEVEL 3: UNIT SLEEVE (e.g. Studio Cupboard A) (e.g. Ring Binder 2026-A) (e.g. Sleeve #03: 2026-R03)

Level 1: Storage Facility / Location (Location)

  • Physical furniture in your workspace: Cupboard A, Shelf 2, Archival Safe.

Level 2: Archival Container (Container)

  • Protective outer housing: Binder 2026-A, Print Storage Box #1 (11x14"), Solander Box.

Level 3: Unit Holder (Unit)

  • Individual protective sleeve/envelope: Negative Sleeve #03, Print Envelope #42.

Pillar III: The Physical-to-Digital Bridge

How the app connects your physical storage with your digital library:

┌────────────────────────┐ ┌────────────────────────┐ │ PHYSICAL OBJECT │ │ DIGITAL FOTOLOGUE │ │ Sleeve: "2026-R03" │ ◄───────────────────────► │ • Field Exposure Log │ │ Frame: "#12" │ Search or Scan │ • GPS Location Map │ │ Location: "Binder A" │ QR/Barcode Label │ • Intent > Series │ └────────────────────────┘ └────────────────────────┘

1. Instant Location Search

When you search for a project or subject in Fotologue (e.g. "Urban Decay"):

  • Search Result: Displayed with exact physical storage coordinates:

    📍 Location: Studio Cupboard A $\to$ Binder 2026-A $\to$ Sleeve #03 $\to$ Frame #12

2. QR Code / Barcode Label Generation

Fotologue Lab can generate and print compact archival adhesive labels (or PDF printable sleeve headers):

  • Label Contents: Roll ID (2026-R03), Camera, Film Stock, Date, 3-Axis Tags, and a QR code.

  • Scanning: Scanning the QR code on a physical negative sleeve immediately opens that roll's Digital Contact Sheet on your device!

Pillar IV: Frictionless Filing Habits (Encouraging Best Practice)

To prevent negatives from accumulating in loose piles:

  1. Filing at the Wash Station:

    • When cutting dried negatives into 6-frame strips, the app prompts you with the pre-generated Roll ID (2026-R03) to write on the sleeve header immediately.

  2. Batch Sleeve Label Printing:

    • Export printable A4/Letter negative sleeve header inserts directly to your home printer.

  3. "Where Is It Now?" Custody Status:

    • Every negative sleeve and print has a quick custody badge:

      • 🟢 In Storage (Binder 2026-A)

      • 🟡 At Lab (Rewind Photo Lab)

      • 🔵 On Display (Sydney Fine Art Gallery)

      • 🟣 Sold (Private Collector)
